Duplicate expense detection

Steps on how to set up duplicate expense detection and enable alerts for approvers to identify and flag duplicate claims quickly and efficiently.

To configure the duplicate expense detection and alerts to indicate its a duplicate claim, follow the steps below in back office.

  1. Go to Back Office, then Core Expense.

  2. Click Reference S-Z, then System Parameters.

  3. Click Common, under duplicated items, tick the following alerts you'd like to setup.

  • Duplicate detection: Checks for duplicates if enabled.

  • Duplicate expenses allowed: Allows user to enter duplicates but a reason must be provided on the portal screen. If set to N then users cannot enter a duplicate.

  • Duplicate based on cost centre: Checks if the dates, expense code and cost centre are all identical on more than one trip item line.

  • Duplicate based on dates: Checks if the dates and expense code are identical on more than one trip item line for the current claimant.

  • Duplicate based on time: Checks if the dates, expense code and times are identical on more than one trip item line for the current claimant.

  • Duplicate based on AC1: Checks if the dates, expense code and analysis code 1 are identical on more than one trip item line for the current claimant.
