In PeopleXD Expense, you need to generate a Delete Submission File in the following scenarios:
You should have excluded an employee or expense group from the submission, but they were returned in error.
You've generated and transferred a submission file twice for the same period in error.
Once you generate the Delete Submission File, you need to transfer this to Revenue as per the standard transfer process. To generate the file, follow the steps below in back office for the relevant scenario.
Employee or claimant returned in error
Click Expense, then click Update.
Click Enhanced Reporting Requirements.
From the Generate/Transfer drop-down menu, select Generate Submission File.
From the Submission Type drop-down menu, select Delete Submission.
Enter the relevant expense group code.
In the Company Tax Reg Number field, either:
Leave it blank: This generates an output file for all company TRNs with associated employees within the expense group.
Select a company TRN: This generates one file for the TRN you select.
In the Claimant field, enter the employee's employee reference.
From the Prev Run Number drop-down menu, select the relevant period.
If required, in the Override Payment Date field, enter a date, then click OK.
Expense group returned in error or delete a duplicate file
Click Expense, then click Update.
Click Enhanced Reporting Requirements.
From the Generate/Transfer drop-down menu, select Generate Submission File.
From the Submission Type drop-down menu, select Delete Submission.
Enter the relevant expense group code.
In the Company Tax Reg Number field, either:
Leave it blank: This generates an output file for all company TRNs with associated employees within the expense group.
Select a company TRN: This generates one file for the TRN you select.
From the Prev Run Number drop-down menu, select the relevant period.
Click Browse, then choose where you want to save the file.
Click OK.
Delete submission file for a previous period
Click Expense, then click Update.
Click Enhanced Reporting Requirements.
Double-click 02 - Expense Group Parameters.
For the relevant expense group, select the Previous Run Number check box.
Click OK, then, from the Generate/Transfer drop-down menu, select Generate Submission File.
From the Submission Type drop-down menu, select Delete Submission.
Enter the relevant expense group code.
In the Company Tax Reg Number field, either:
Leave it blank: This generates an output file for all company TRNs with associated employees within the expense group.
Select a company TRN: This generates one file for the TRN you select.
From the Prev Run Number drop-down menu, select the relevant period.
Click Browse, then choose where you want to save the file.
Click OK.
