Upload a new expense policy document

Modify the terms and conditions document in portal that appears when employees submit or approve an expense report.

If you have a new expense policy, to upload this into PeopleXD Expense, you need to update the new file name parameter.

If your document is stored online, you can use the online link. If your document is stored locally, raise a case online so the support team can upload it to the server. Once they've done this, they'll provide the file name.

To update the parameter with the new expense policy, follow the steps below in portal.

  1. From the dashboard menu, click Administrator Dashboard.

  2. Click Site Manager, then click Admin Settings.

  3. In the Search field, enter the relevant parameter:

    • ex_submit_trip_decl_doc: This is the document the claimant sees when submitting an expense item.

    • cp_my_appterms_doc_trip: This is the document the approver sees when approving an expense item.

    • cp_my_appterms_doc_car: This is the document used for My Approval Car and Vehicle widget.

    • cp_my_vat_doc: This is the VAT document the claimant sees when submitting an expense. In your environment, this may not be used.

  4. Click Edit, then enter the online link or file name from the support team as required.

    πŸ“Œ Note: If the support team uploaded your document, you need to enter /coredocs/ followed by the exact file name.

  5. Click OK.
