If an employee's overnight expense claim is generating an incorrect value, this is because the subsistence rates aren't set up correctly or the claimant doesn't fit into an existing subsistence rate.

Solution 1

Subsistence rates will need to be reviewed. Rates can be seen through CoreExpense, Reference S-Z, Subsistence

Solution 2

The Claimant's Scale Code might not have a Scale Class set up. This can be reviewed through CoreExpense, Reference S-Z, Scale Codes.
If the Scale Class is missing this will need to be entered using the steps below.

  1. Search the claimant's Scale Code

  2. Enter the Scale Class (This is case sensitive)

  3. Click Save.

Other Possible issues may include:

  • A rate has not been set up for the claimant's Company Code / Location Code / Currency Code.

  • An End Date has been populated for the rate that should be applying to the claimant.

  • A rate has not been set up for the Expense Code the claimant is claiming for.

  • The From/To fields are used for Scale Classes. Ensure the claimant's Scale Class is within the range specified by the From/To fields. For example, if the range is A - C, the claimant will need to be on Scale Code A,B or C.
